Position Description

Working Title:  Administrative Assistant to Dean of Students **Internal Only**

This is an 'On-Campus Only' Recruitment.  Qualified applicants must be current employees of CSUDH.

This position is scheduled to end on May 31, 2026.

** Successful candidates in these temporary appointments may be appointed from a few days up to one year depending on the assignment.  Temporary appointments must end on or before the end of the fiscal year, with the possibility of renewal if funds and/or program needs exist.

Position Summary:

Under the general supervision of the Dean of Students, with functional and day-to-day operational guidance related to student conduct provided by the Director of Student Conduct, the Administrative Assistant to the Dean of Students provides high-level, confidential, and complex administrative support to both offices. This position plays a critical role in ensuring the effective and compliant operation of the Dean of Students Office and the Student Conduct Office by coordinating administrative systems; supporting case management and meeting logistics; managing communication and documentation; and facilitating cross-departmental collaboration.

The incumbent supports sensitive student matters, including behavioral concerns and conduct processes, and must consistently exercise sound judgment, discretion, and professionalism. This role requires a highly organized, detail-oriented individual capable of managing competing priorities, maintaining strict confidentiality, and contributing to a student-centered, equitable, and responsive Student Affairs environment at CSU Dominguez Hills.

This position occasionally supports events and meetings in late afternoon/evenings and occasionally responds to urgent student issues outside of regular work hours.

Key Responsibilities:

  • Serve as an administrative support for the Dean of Students and Director of Student Conduct, providing evaluative analysis, policy interpretation, and recommendations to support effective program administration.
  • Provide a full range of comprehensive administrative support to the Dean of Students and Director of Student Conduct, including calendar management, meeting coordination, agenda preparation, and follow-up on action items.
  • Ensure operational efficiency for both offices by independently assessing workflow processes, identifying inefficiencies, and recommending procedural improvements, while coordinating workflows, prioritizing requests, and anticipating scheduling conflicts or deadlines.
  • Serve as the primary point of contact for internal and external inquiries, independently interpreting and applying university policies and procedures, and exercising discretion and professionalism when handling sensitive and complex matters.
  • Assist with budget tracking, purchasing, and reconciliation of expenses using PeopleSoft, CSU Buy, Concur, and related systems.
  • Coordinate contracts, hospitality requests, and payment processing in alignment with CSU fiscal policies.

Minimum Qualifications:

  • Bachelor's degree from a four-year college or university and/or equivalent training and three (3) years of professional related experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Knowledge, Skills, and Abilities:

  • Knowledge of: Correct English grammar and spelling and punctuation; modern office procedures, methods, and records management; proper customer service-oriented techniques; standard computerized office systems and equipment and software; and Web based systems.
  • Ability to: Manage multiple projects and tasks, determine the importance of each, set appropriate deadlines and complete all projects; accordingly, develop, interpret and apply policies and procedures independently and make a sound recommendation; work independently; communicate effectively (both written and orally) with executives, outside vendors, and staff.
  • Skills in: Leadership, planning, organizing, coordinating, and performing work in a multifaceted environment; researching and analyzing; using software applications to prepare, tables, charts, and spreadsheets; working independently on assignments and problems.

Preferred Qualifications:

  • Master's degree from accredited college or university with major course work in public administration, student personnel or higher education administration or related fields.
  • Experience with university administrative experience preferably in student affairs with an emphasis in student housing, student activities, residence life, or student development is preferred.
  • Knowledge of CSU financial systems (Concur, CSU Buy, PeopleSoft, and Data Warehouse).
  • Demonstrated consultative skills in working with internal and external constituent groups.
