Position Information   

This is a full-time, permanent (probationary) position.

Conditions of Employment      

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

The salary range for this classification is: $3,064 - $5,148 monthly.

Major Duties

Under the general supervision of the Associate Director of Housing Operations & Administrative Services, and in support of all Housing managers, the Housing Administrative Support Coordinator works independently and is responsible for all aspects of clerical and administrative support within the department. The position will assist with building and room access using Housing's electronic key system and is also responsible for tracking all invoices and requisitions, as well as supplies needed, ordered and received by University Housing. The position is also responsible for departmental timekeeping duties and for submitting hiring/termination paperwork for the department; email, phone and in-person reception duties, providing answers to general inquiries and routine questions. May provide lead direction to student assistants.

Qualifications

Required Education/Education: High school program, technical/vocational program, or their equivalents combined with several years of related office work experience equivalent to three (3) or more years.

Required Knowledge, Skills, and Abilities:

• Good writing skills, including: English grammar, punctuation, and spelling
• Excellent interpersonal skills and be well-organized with attention to detail and
• Knowledge of office methods, procedures, and practices.
• Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages do not exist.
• Working knowledge of budget policies and procedures.
• Ability to:
o Understand and operate in a variety of organizational structures;
o Learn, interpret and apply University Housing policies and procedures
o Coordinate and organize multiple projects and tasks to determine relative importance of each,
o Set deadlines and complete projects accordingly;
o Read and write at a level appropriate to the duties of the position; perform arithmetic computations;
o Understand the needs of and work with a culturally diverse population
o Establish and maintain cooperative working relationships with staff, students, faculty and others.
o Draft and compose correspondence and standard reports.
o Effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
o Independently handle multiple work unit priorities and projects.
o Apply independently a wide variety of policies and procedures where specific guidelines may Experience to be fully functional in all technical aspects of work assignments.

Preferred Qualifications:

Preferred 3-5 years related experience in general clerical and/or experience in working on a university campus and in an on- or off campus residential setting.
Bachelor's degree preferred.
Working knowledge of and/or skill in Microsoft Office applications, Housing software such as StarRez occupancy management and Onity electronic key management); Facilities Services work order software such as Tamis; and various other University software systems and
modules (i.e. Peoplesoft).

Responsibilities

50% Liaise with Housing and Facilities Services to coordinate effective work order entries. • Track all work orders through completion using available software and communicate with residents and staff to help ensure excellent service delivery. • Assist with secure issuance of keys and keycards, providing temporary access to spaces within the Housing community when needed utilizing Housing's electronic key system.

30% Oversee clerical and administrative duties for the housing department which include data entry and inventory module. • Acts as receptionist and provides answers to general inquiries and routine questions • Serves as timekeeper for University Housing. • Assist with travel and appointments/schedule keeping for Housing managers. • Process all hiring/termination paperwork for the department and submits in a timely manner. • May provide lead direction to student assistants. • Serve as back up support for other administrative assistant(s) when absences or vacancies exist. • Monitor supplies needed, ordered and received by University Housing.

15% • Organize invoice and requisition tracking system, in accordance with all guidance and training provided by the University's Procurement and Contracts office.

5% Perform other duties as assigned.
