Position Description

Executive Assistant to VP of Information Technology – Information Technology Vice President Office

MPP employees serve at the pleasure of the campus President.  MPPs do not serve a probationary period and never receive permanent status.

Classification Title: Administrator I

Salary:

The anticipated salary range for this position is $7,100 - $7,650 per month.

Salary is commensurate with experience.

About the Department/Position:

The Division of Information Technology led by the Office of the Vice President and Chief Information Officer is the university’s centralized technology provider. DIT supports the University’s mission to be recognized as a model urban university, diverse in teaching, learning, research, and administration

Under the general direction of the Vice President of Information Technology/Chief Information Officer (CIO), the Executive Assistant is primarily responsible for the day-to-day operations of the VPIT executive suite. The incumbent will collaborate with the VP/CIO’s and the senior leadership team to gather information concerning divisional strategic planning and ensure projects are processed and finalized. The incumbent will perform executive administrative operations, establish office protocols and procedures, maintains the VP/CIO’s schedule, and calendar, and prepares high-level presentations, correspondences, and memos. The incumbent handles significant and sensitive information in drafting and tracking correspondence for the CIO and Executive Director for I.T. Operations & Finance, takes notes and compiles information for all grievance matters, and areas of staff dispute, and drafts responses to grievances for review and approval. In the absence of the HR Liaison and Fiscal Officer, the Executive Assistant to the Vice President provides continuity of routine human resources and financial processes such as recruitment, timekeeping approvals, eFAST processing, and budget transactions.

Extended hours and weekends may be required during projects and/or emergencies. The incumbent needs a very high level of self-management, and the ability to plan and schedule work, think critically, and prioritize appropriately.

 Overview of Duties and Responsibilities:

  • Provides administrative support to the VP of Information Technology/CIO, working closely with the President’s Office and external constituents.
  • Plans, organizes, and oversees the day-to-day operations of the Vice President Suite and ensures the alignment with organizational objectives.
  • Ensures staff conformance to procedures and efficient functioning of the department.
  • Organize department-level reports, including preparing, processing, and compiling confidential reports and audit responses.
  • Coordinate projects with the Chancellor’s Office and external local committees.

Minimum Qualifications:

  • Bachelor’s Degree and five to eight (5-8) years of professional related experience managing an executive office for senior level administrator, preferably Vice President or higher. 

Knowledge, Skills, and Abilities:

  • Knowledge of:
    - Higher education in the public sector;
    - Correct English grammar, spelling, and punctuation;
  • Ability to:
    - Perform standard business mathematical functions, including tracking and comparing data;
    - Establish and maintain effective working relationships, and handle sensitive and confidential situations;
    - Understand complex business processes, and improve on them;
    - Handle multiple work unit priorities and projects with little supervision. Skill in:

Preferred Qualifications:

  • Experience in Higher Education or Information Technology Industry Experience and/or certification in project management
  • Experience Supporting an executive office for senior-level administrators, preferably Vice President or higher
