Position Description

Working Title: Travel ProCard AP Specialist

Department Name: Accounts Payable

Division: Administration and Finance

Classification Title: Accounting Technician III

Classification Salary Range: $3,968 - $6,964 per month

The anticipated hiring range for this position is $4,400 - 4,500 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general supervision of the Manager of Accounting Services, the Travel/ProCard/Accounts Payable Specialist is responsible for processing all travel, ProCard, and full cycle A/P duties requiring comprehensive knowledge of financial record-keeping methods, policies, procedures, and practices of CSU/CSUDH Travel and Hospitality, and a basic knowledge of Generally Accepted Accounting Principles (GAAP). The incumbent's primary responsibilities include processing travel requests, auditing and processing travel expense claims through Concur, facilitating the travel card program, auditing PCard reports, and providing training and customer service to the campus community.

Special Working Conditions: This position is hybrid/telecommute-eligible

Overview of Duties and Responsibilities:

  • Review incoming travel requests and audit and process travel expense claims for compliance.
  • Follow up on missing documentation and proper authorizations.
  • Ensure all business transactions are reasonable, appropriate, and consistent with policy and procedures
  • Process travel expense claims through Concur and create vouchers in a timely manner while ensuring a high level of accuracy.
  • Reconcile Travel Advance Open Items.
  • Communicate CSU and campus travel policies and procedures to the campus community.
  • Provide travel training and customer service to campus community.
  • Process direct payments, including employee reimbursements, refunds, and other invoices
  • Perform full cycle accounts payable duties as necessary.
  • Audit data entry of other AP Technicians.

Minimum Qualifications:

  • Experience: Equivalent to four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.

    Education: Any equivalent combination of education and experience which provides the required knowledge and abilities.

 Knowledge, Skills, and Abilities:

  • Comprehensive knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices; and basic knowledge of Generally Accepted Accounting Principles (GAAP).
  • Ability to review financial documents for accuracy, completeness, validity, and adherence to standards; compute and post numbers rapidly and accurately; maintain files and records; identify, trace, and correct errors; follow directions; establish and maintain effective working relationships with others; exercise tact, courtesy, alertness, and good judgment in responding to others; use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems; and read and write English at a level appropriate to the position.
  • In addition, must be able to apply accounting procedures and practices to the analysis of basic accounting problems; analyze and interpret accounting data; apply problem-solving techniques in finding solutions to basic accounting problems; understand and apply applicable rules, regulations, policies, and procedures; work independently; and make sound decisions and recommendations regarding accounting activities; maintain accounting records for funds, programs, or activities involving multiple transactions; compile, verify, and reconcile financial data; investigate and resolve errors and discrepancies; and read and interpret computer-generated reports.

Preferred Qualifications:

  • CSU or Higher Ed experience
  • Associate or Bachelor's degree in Accounting or related field in combination with the required experience.
  • Experience with Peoplesoft (CFS) 9.2 or higher in the Accounts Payable module
  • Experience with Concur, Excel, Word, Outlook, Zoom, OnBase, Adobe
  • Governmental accounting experience
