Department

The Financial Aid department within the Division of Student Affairs is available to remove the cost of barriers that may prevent individuals from pursuing their educational goals. We seek an exceptional individual to join our team as the Administrative Support Coordinator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Duties and Responsibilities

The Administrative Support Coordinator II will provide comprehensive administrative support to the Directors of Financial Aid, Scholarships, and Titan Hub. The position will schedule meetings, and coordinates logistics for staff and committee gatherings, including preparing agendas, supporting materials, and meeting minutes. Handles all incoming correspondence, composes and proofreads documents, and serves as the primary point of contact for office inquiries of a sensitive and complex nature. Additional responsibilities include processing travel arrangements and expense reconciliation through Concur, managing purchase orders, reconciling procurement cards via P2P, and ordering office supplies. The Coordinator will also support hiring and onboarding processes through CHRS, supervise and train student assistants, and serve as the office payroll warrant and student attendance timekeeper. This role acts as the Department IT Coordinator (DITC), oversees front office operations, and maintains confidential files and records. The Coordinator will also assist with budget reporting through OBIEE, contribute to Strategic Plan and SAASEM monthly reporting, and provide staff support for special events, retreats, and cluster-wide gatherings. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or administrative support  work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Bachelor's degree from an accredited four-year college or university. General knowledge of community and higher education issues. Familiarity with a campus environment/higher education. Knowledge or exposure to Concur, CHRS, Insights and P2P software system. Demonstrated experience working in an office environment.
