Working Title:  Associate Director, Financial Aid & Scholarships

Classification Title: Administrator I

MPP employees serve at the pleasure of the campus President.  MPPs do not serve a probationary period and never receive permanent status.

Position Salary Range: $5,880 - $8,820 per month

The anticipated hiring range for this position is $7,300 - $7,834 per month.

Salary is commensurate with experience.

About the Department/Position:

Under the general direction of the Director of Financial Aid and Scholarships, the Associate Director provides leadership, oversight, and supervision of daily operations to ensure the accurate and timely delivery of all federal, state, and institutional aid programs. The Associate Director interprets and implements complex federal, state, and CSU regulations, exercises sound judgment in resolving unusual or complex student cases, and reviews appeals related to eligibility and award decisions. The incumbent establishes and monitors quality assurance measures, oversees verification processes, conducts internal audits, and ensures compliance and data integrity. The Associate Director also provides annual verification and compliance training and maintains the Financial Aid Policies and Procedures Manual to ensure consistent application of all standards. In the Director's absence, the Associate Director serves as the Acting Director, ensuring operational continuity and coordination with campus partners, the Chancellor's Office, and external agencies. The position also contributes to strategic planning and continuous process improvement to enhance efficiency, compliance, and service excellence.

Overview of Duties and Responsibilities:

  • In accordance with collective bargaining contracts and University personnel policies, responsible for recruitment, training, supervision, and evaluation of staff; participates in disciplinary actions, grievance resolution, and performance management processes.
  • Verifies hours worked, reviews leave requests, approves schedule modifications, and ensures compliance with University and CSU procedures.
  • In collaboration with management, ensures full compliance with federal, state, CSU, and institutional regulations governing financial aid programs and plays a key role in policy interpretation, implementation, and continuous improvement.
  • In accordance with federal, state, CSU and campus policies and procedures governing the awarding of Financial Aid to students determines student eligibility, verifies documentation, processes awards, and monitors satisfactory academic progress.
  • Serves as a key representative of the Office of Financial Aid and Scholarships on university committees, task forces, and community or professional organizations.

Minimum Qualifications:

  • Professionals at this level usually have three - five (3-5) years of experience and the equivalent to a Bachelor's degree.
  • One (1) year of supervisory/managerial or leadership experience required.

Knowledge, Skills, and Abilities:

  • Working knowledge of the practices and activities of the Financial Aid Office and any other duties as assigned.
  • Thorough knowledge of the principles and methods utilized for financial and personal management and budgetary preparation and control.
  • Ability to interpret and apply program rules and regulations, ability to use initiative and resourcefulness in planning work assignments and in implementing long- range program improvements.
  • General knowledge of modern office and data handling methods, forms and equipment related to the Office of Financial Aid and Scholarships.
  • Ability to communicate effectively both verbally and in writing with students, parents, staff and outside organizations.

Preferred Qualifications:

  • Four years of responsible, related professional experience including or supplemented by two years of progressively responsible supervisor and/or management services.
  • An advanced degree in related field such as student personnel or higher education administration
