Position Description

Working Title:  Administrative Specialist - VP, Student Affairs **Internal Only**

This is an 'On-Campus Only' Recruitment.  Qualified applicants must be current employees of CSUDH.

This position is scheduled to end on May 31, 2026.

** Successful candidates in these temporary appointments may be appointed from a few days up to one year depending on the assignment.  Temporary appointments must end on or before the end of the fiscal year, with the possibility of renewal if funds and/or program needs exist.

About the Department/Position:

Under general supervision of the Director of Student Affairs Operations, the incumbent will perform a variety of specialized administrative and analytical duties and services for the Vice President for Student Affairs, Associate Vice President for Belonging and Engagement, and Division Operations team members. Provides executive administrative support to the Associate Vice President for Belonging and Engagement and serves as backup executive support to the Vice President when the Director of Student Affairs Operations is unavailable. Oversee calendar for senior level administrators; travel for administrators and student groups; processes documents and records; and gathers data to prepares standard reports. Assists with answering telephones; greeting and directing visitors; directing students, faculty, and staff to appropriate division resources; maintaining critical and sensitive files and records; financial support, including preparing requisitions and direct pay forms, processing reimbursements and tracking invoices; and processing mail. Periodic support of division and student events.

Incumbent will be required to work periodic evenings and weekends to support Division events.

Overview of Duties and Responsibilities:

  • Provide executive administrative support to the Associate Vice President (AVP) for Belonging and Engagement to include, but not limited to, maintaining calendar, scheduling routine and special meetings independently, document creation with minimal instruction, data creation involving analysis and assessment efforts, and preparation of standard reports.
  • Additional tasks include making recommendations and informing the AVP for Belonging and Engagement on policy and procedures related to finance, budgets, personnel, and related operational functions to meet division cluster goals.
  • Provide budget support to the Vice President (VP) for Student Affairs, AVP for Belonging and Engagement, and Division Operations team members by assessing steps needed for document preparation and processing according to CSU policy.
  • Review documents submitted for approval for accuracy and advise department staff of university policies when needed

Minimum Qualifications:

Education: Bachelors degree and/or equivalent training

Experience: Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, equivalent to two (2) years.

Knowledge, Skills, and Abilities:

  • Knowledge of: Working knowledge of general practices; program and/or administrative specialty.
  • Working knowledge of budget policies and procedures.
  • Working knowledge of advanced office and administrative support methods and procedures related to a large organization in a large institutional department including but not limited to university infrastructure, policies and procedures, computers and various software programs for generating and tracking data, i.e. accounting reports, spreadsheets, PowerPoint presentations, document preparation, and database development.
  • Knowledge of PeopleSoft CFS and Human Resource applications.

Preferred Qualifications:

  • Four (4) or more years of work experience providing administrative support in a complex, high-paced office where multiple work unit projects and priorities are handled, is preferred. Exceptional accuracy and follow-through on projects from beginning to end.
  • Experience managing complex calendars and managing financial records.
  • Experience in customer service or student-facing environments.
