Classification Title: Administrative Support Coordinator II

Classification Salary Range: $3,865 - $6,336 per month

The anticipated hiring range for this position is $3,865 - $4,100 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general supervision of the UA Fiscal Officer/HR Liaison, the position serves as the primary administrative support person for the Office of the Vice President of University Advancement and also supports the UA Fiscal Officer/HR Liaison and the Executive Director of the CSUDH Philanthropic Foundation. The incumbent performs comprehensive administrative duties for the Vice President (VP) office assists the UA Fiscal Officer/HR Liaison on division-wide fiscal and HR tasks, and special projects, and assists with the coordination of the Philanthropic Foundation board meetings. This position interacts with the entire University Advancement division, external guests, board members, donors, and members of the campus community. Interacts with a variety of campus and community constituents including: working with students, faculty, and staff to assist them in resolving routine problems; networking to build campus relationships to expedite work and projects; coordinating special events and projects; serving as a primary contact and/or resource to outside parties, such as vendors or governmental agencies, and/or to top-level administrators.

Overview of Duties and Responsibilities:

  • Performs a full range of administrative responsibilities, while maintaining a high level of professionalism.
  • Act as point of contact for all visitors to University Advancement via in-person or virtually, by screening calls and welcoming visitors, scheduling meetings, and maintaining the filing system.
  • Handle routine concerns, while escalating more serious concerns to the appropriate administrators.
  • Assists with virtual Zoom meetings hosted by the VPUA Office and occasionally External Relations with members of the external community which includes sharing documents and presentations, and monitoring questions from participants.
  • Prepares and process financial forms while maintaining compliance with CSU, CSUDH and Philanthropic Foundation policies.
  • Assists with division absence management tracking and review.

Minimum Qualifications:

  • Education: High School diploma or equivalent
  • Experience: Four (4) years of office or work-related experience.
  • California Driver's license

Knowledge, Skills, and Abilities:

  • Thorough knowledge of office procedures, practices, and systems with the ability to use a range of technology, systems and software packages to troubleshoot issues.
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Knowledge of payroll rules and regulations as it pertains to the University and a basic knowledge of the PeopleSoft.
  • Ability to apply critical thinking, attention to detail, and exercise good judgment and decision-making to maintain effective day-to-day operations.

Preferred Qualifications:

  • Bachelor's degree from an accredited university preferred.
  • 5+ years of progressive office or work-related experience.
  • Previous clerical/administrative support experience at a university level is preferred.
  • Knowledge and/or experience using CMS/PeopleSoft preferred.
  • Experience working in higher education, particularly in a fundraising operation; experience working in the CSU system is a plus.
  • Experience working with an ERP system (People Soft), proficiency in Excel, Adobe, and PowerPoint preferred.
  • Ability to understand and operate in a variety of organizational structures.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  • Ability to evaluate and make recommendations related to department operations and procedures.
  • Ability to perform large scale, complex projects with broad, visible impact that involve coordination with other departments are planned and executed.
  • Ability to execute work direction, training, and guidance from supervisor and co-workers.
  • Ability to work collaborative with all levels of the university organization.
  • Ability to utilize critical thinking and make decisions that impact work and day-to-day operations.
  • Skill and ability to work on multiple projects and priorities simultaneously; Ingenuity in developing solutions.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
