Position Description

Working Title: Executive Assistant and Academic Senate Administrator

Department Name: Office of the Provost

Division: Academic Affairs

Classification Title: Confidential Administrative Support III

Classification Salary Range: $5,357 - $13,360 per month

The anticipated hiring range for this position is $6,600 - $7,000 per month. The maximum salary is $7,000.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general direction of the Provost or the Provost's designee, the Executive Assistant and Academic Senate Administrator independently oversees the day-to-day administration of the Academic Senate and the Office of the Provost. The incumbent provides executive assistance and support to the Senate Chair, Executive Committee, and Senate Committee chairs, organizes committee rosters and meetings, and ensures administrative continuity in a context of shared governance and changing senate leadership. Additionally, the individual plans, supervises, and provides training to office staff, conducts performance appraisals, and manages the daily operations of the Office of the Provost. Responsibilities include taking notes and compiling information for all grievance matters, and areas of staff dispute, and drafting responses to grievances for VP review and approval. The work involves handling problems of a highly confidential and sensitive nature, assigning tasks to staff, organizing scheduling for the Provost, serving as a liaison for the Provost and Associate Vice Presidents to resolve sensitive issues involving on-and-off campus personnel, maintaining oversight of operating procedures, developing and maintaining the Academic Affairs website, events, and performing special projects.

Position may require alternate work schedule for meetings and/or events.

Overview of Duties and Responsibilities:

  • Provide complex and confidential executive assistant support directly to the Provost and Provost's Office.
  • Collaborate with the Provost to develop and implement long-term strategic goals for the division, ensuring alignment with the institution's mission and vision.
  • Draft responses to grievances and to various union and management collective bargaining proposals and counter-proposals.
  • Counsel on the institutional history of the Senate to facilitate the transition of the incoming Academic Senate Chair and Senate Executive Committee.
  • Consult with the President's Office, Academic Affairs, Colleges, and divisions campus-wide; serve as a liaison for the Academic Senate Chair and the Senate Executive Committee.

Minimum Qualifications:

  • Professionals at this level usually have three (3) - five (5) years of experience and the equivalent to a Bachelor's degree with one (1) year of supervisory/managerial or leadership experience required.

  • Ensures a comprehensive understanding of the regulatory context.
  • Thorough knowledge of university infrastructure, policy and procedures.
  • Excellent organizational and time-management skills.
  • Strong written, organizational and communication skills.
  • Ability to develop solutions for a wide range of complex and broadly visible administrative problems.
  • Ability to maintain effective working relationships at all levels, and handle highly sensitive and confidential situations.
