Classification Title: Administrative Analyst/Specialist - Exempt I

Classification Salary Range: $4,100 - $7,500 per month

The anticipated hiring range for this position is $4,700 - $4,900 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general direction of the Executive Director, the Reservation and Events Specialist is responsible for overseeing the campus-wide reservation system. The incumbent will validate space and occupancy conditions for the university and make updates to drawings/layouts as needed. Develops and implements campus-wide policies and practices for the use and maintenance of the master calendar online facilities reservation system. Serves as the primary contact with EMS Software Company and manages relationship to ensure latest technologies are being used. Coordinates upgrades with CSUDH IT and updates campus policies accordingly. Ensures effective communication and serves as the calendar and online facilities reservation liaison between all divisions. Develops and leads campus-wide training on calendar software and online/facilities event reservation process. Conducts walkthroughs with the Fire Marshall regarding events, draft exit plans and with government agencies on permit processes.

*Special Working Conditions: This position requires occasional evening and weekend working hours; and work days that exceed 8 hours. Work schedule may vary based on event schedules.*

Overview of Duties and Responsibilities:

  • Oversees the university events for the campus-wide scheduling and room reservation system (excluding academic/classroom scheduling).
  • Ensures effective communication and serves as calendar and online facilities liaison between all divisions (which include the Office of the President, Academic Affairs, Administration and finance, Enrollment Management & Student Affairs, Information Technology, University Advancement, and Foundation Auxiliaries).
  • Creates and schedules Event Calendar / 101 workshops for the campus community to educate and train on the university events calendaring system, campus workflow, and events protocol.
  • Oversee all event logistics and draft building diagrams for specifications and ensure we have an exit plan documented. Submit permits and meet with Fire Marshall for walkthroughs.
  • Provide social media posting schedule and work with Social Media Specialists to create social media messaging for events.

Minimum Qualifications:

  • Bachelor's Degree or equivalent training and three (3) to five (5) years of administrative work experience in event operations or event management.

Knowledge, Skills, and Abilities:

  • Knowledge utilizing a reservation calendaring system.
  • Knowledge of event planning management, vendor relations, and negotiations.
  • Skill in Event Management System(EMS), and PeopleSoft.
  • Knowledge of Commencement ceremonies as they pertain to higher education.
  • Skill in Microsoft Office suite, in-depth social media knowledge, developing, producing, and maintaining analytical spreadsheets, superb writing
    skills, graphic design knowledge.
  • Ability to determine solutions to space and event-related problems on a daily basis.

Preferred Qualifications:

  • Experience working with high-level professionals including congressional, trustees, and C-level executives. Savvy social media communication knowledge.
